1 Year Contract Admin Assistant

Responsibilities And Duties

\xc2\xb7 Sourcing and procurement of non-IT products and services, maintenance of general equipment and services, including assessment, evaluation and screening of new suppliers.

\xc2\xb7 Maintaining and updating the suppliers\' list

\xc2\xb7 Updates of Department Procedures/BCs and APPGs, APR Intranet administration (Upload & deletion)

\xc2\xb7 Responsible for printing of name cards and all printed forms, order of stationery.

\xc2\xb7 Responsible for input and confirmation of invoices to AP System and allocation of costs.

\xc2\xb7 Responsible for updates and records receipt of Authorised Signatories Booklets from correspondents\xe2\x80\x99 banks (addition, amendment and deletion)

\xc2\xb7 Updates and keeps proper record all M&E and building-related drawings.

\xc2\xb7 Administers the destruction of confidential documents.

\xc2\xb7 Administers the management of the premises access card system and CCTV, including issuance of access cards and assigning of access; attends to premises alarms during out-of-office hours; assists in fire drills, follows fire safety precaution measures and workplace safety guidelines.

\xc2\xb7 Takes care of the general maintenance and upkeep of the office premises (monthly cleaning, aircon servicing and carpet shampooing), liaising with building management and vendors. Keeps record of all maintenance and repairs work. Attending to maintenance works within and after business hours. Updates of non-IT fixed assets inventory; conducts annual physical checks.

\xc2\xb7 Provide support during audit & second level control on FMD processes

\xc2\xb7 Assists Head of Facility Management in re-stacking and renovation projects (obtains, reviews and awards quotation etc and supervision of site projects)

\xc2\xb7 Full spectrum of Reception duties

\xc2\xb7 Updates and administers the Key Register for entire office.

\xc2\xb7 Upkeep of meeting rooms and manage meeting room booking system

\xc2\xb7 Responsible for entire mail room services (collection and distribution of incoming mail, newspapers, publications, and franking & posting of mails \xe2\x80\x94 replenish postage fees for franking machine, daily tally postage on the monthly postal franking docket, weekly upload to the General Post Office).

\xc2\xb7 Administers warehouse/archiving matters (collection and retrieval of cartons for storage at Offsite Storage (CISCO or CROWN), and regular review and monitoring of destruction dates. Conducts on-site check on archived documents.

\xc2\xb7 Other duties, as and when, assigned by Head of Facility Management

Key System:

\xc2\xb7 Microsoft Office, Impudeo AP, Cisco CCTV system, Web based platform, general office equipment COMPETENCY & BEHAVIOURAL SKILL

\xc2\xb7 Team player, good communicator, flexible, quick to learn, resourceful, pro-active & multitasking. Able to work with minimal supervision.

\xc2\xb7 Able to work on weekends (on ad hoc basis due to office maintenance requirements)

Salary: $4500 - $5500

Location: Bugis

Working hours: 9am \xe2\x80\x93 6pm mon-fri
