The Admin Assistant supports day to day warehouse and ecommerce operations through order processing, inventory coordination and administrative tasks. The role ensures accurate fulfilment, timely dispatch and smooth coordination across internal teams.
Key Responsibilities
Order Processing and Fulfilment
Retrieve and process daily orders from ecommerce platforms such as Shopify, Shopee, Lazada and TikTok Shop
Prepare orders for fulfilment including picking, packing, labelling and sorting
Support quality checks before dispatch and ensure timely courier handover
Update order status accurately in internal systems
Warehouse and Inventory Administration
Track inventory levels across warehouse, ecommerce and retail channels
Coordinate stock movement with Operations and Retail teams
Flag low stock, discrepancies or damaged items promptly
Maintain organised records and a tidy fulfilment area
Administrative and Coordination Support
Support customer communication on order status and delivery updates
Follow up on enquiries, issues and internal requests
Coordinate with internal teams to resolve order or stock issues
Assist with scheduling and coordination for showroom or warehouse related activities
Returns and Reverse Logistics
Process returned parcels and verify items against return documentation
Update return status and coordinate courier tracking when required
Process returned stock accurately in the POS or inventory system
Assist with logistics billing related to returns or exchanges
System and Operational Support
Support coordination with Order Management System providers
Flag system issues or operational gaps for timely resolution
Assist with basic system or product updates when required
Support operations during peak periods and campaigns
Requirements
Higher Nitec, Diploma or higher
Experience in administration, warehouse or order fulfilment preferred
Retail or ecommerce experience is an advantage
Able to work independently and follow structured processes
Comfortable with basic computer systems and technology
Strong communication and teamwork skills
Able to work efficiently and handle repetitive tasks accurately
Physically able to handle parcels and lifting
Willing to support peak periods as required
