Provide admin support to 3 teams - Fixed Income (1 pax), EMD (9 pax) & Middle Office (11 pax)
Handling travel arrangement (flights + hotel + visa+ ground transportation) for the teams
Prepare travel & expense reports and handling travel expense reimbursements.
Schedule internal meetings/ interviews within or with our global offices and set up the logistics such as coordinating conference rooms, making meal arrangements and printing/binding meeting materials (when necessary).
Assist in the admin set up for new joiners - desk set up, access card application, etc
Coordinate with IT department on office equipment needs for the teams
Assist in general office management - arranging courier (local and overseas), replenishing paper for the printer, ordering printer toner supplies, etc
Assist in organizing office events - monthly TGIF drinks, CSR, year end party, etc
Assist in various ad hoc projects for the office when required
Serving as backup for the office manager
To be seated at the receptionist desk
Requirements:
At least 2-3 years\' experience in similar capacity
Strong coordination and communication skills
An awareness of people and the ability to adapt your behavior to the needs of each individual you encounter
Ability to be calm under pressure and deal with competing deadlines Experience dealing with highly confidential information with discretion
Confident and collaborative self-starter with initiative
