Key Responsibilities
Provide general administrative support including filing, data entry, documentation, and record-keeping.
Assist in preparing quotations, invoices, purchase orders, and service agreements.
Coordinate with vendors, clients, and internal teams on service requests, scheduling, and logistics.
Handle incoming calls, emails, and enquiries, ensuring prompt follow-up and escalation where necessary.
Support the IT service team in tracking jobs, service reports, and customer feedback.
Maintain inventory of office supplies, IT equipment, and consumables.
Assist with HR-related administration such as leave tracking, onboarding documents, and training schedules.
Help in organizing meetings, preparing reports, and supporting management as required.
Ensure proper documentation of contracts, licenses, and compliance records.
Requirements
Diploma/Certificate in Business Administration, Office Management, or equivalent.
At least 1-2 years of administrative experience (exposure to IT service industry preferred).
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
Strong organizational and multitasking skills with attention to detail.
Good written and verbal communication skills.
Ability to work independently as well as collaboratively with technical teams.
Customer-oriented, professional, and adaptable to changing priorities.
Preferred:
Experience handling invoicing, procurement, or basic finance admin.
* Familiarity with IT service workflows or ticketing systems will be an advantage.
