to support our warehouse and operations team. This role is ideal for someone organised, fast in communication, and able to follow structured processes.
Key Responsibilities1. Supplier & Warehouse Communication
liaise with suppliers to request
quotations, availability, lead times, and pricing
discuss order requirements, specifications, and delivery arrangements
coordinate between suppliers and our warehouse team to ensure items arrive on time
follow up on pending orders, missing items, or discrepancies
2. Admin & Data Entry
update Google Sheets/Excel with quotations, orders, stock updates, supplier details
file and organise documents, photos, invoices, delivery orders
record communication notes and ensure nothing is missed or delayed
maintain accurate records for inventory and procurement
3. Operations Support
monitor WhatsApp chats, emails, and supplier messages
prepare simple purchase orders (POs) using existing templates
assist in logistics coordination for warehouse items moving to event locations
provide daily reporting to management (simple checklist style)
Requirements
Strong English communication (written + spoken)
Good organisational skills and ability to follow up consistently
Comfortable with Google Sheets, Google Drive, WhatsApp, basic data entry
Fast response time and proactive attitude
Able to negotiate and clarify requirements politely with suppliers
Prior experience in admin, procurement, logistics, or coordination is a bonus
