As an Admin Assistant, you'll be the backbone of administrative support--coordinating schedules, managing documentation, and serving as a key point of contact that keeps teams aligned and operations running seamlessly. Your attention to detail, organizational skills, and proactive support directly enable leaders and teams to focus on strategic priorities, making a meaningful impact on overall productivity, professionalism, and workplace efficiency.
What you'll do
Learner Coordination
Make outbound calls to learners for course confirmations, scheduling, reminders, and follow-ups
Respond to learner enquiries via phone, email, or messaging platforms
Update learner records and attendance information accurately
Billing & Invoicing
Prepare and issue invoices to learners or sponsoring companies
Track payments and follow up on outstanding invoices
Liaise with learners or companies on billing-related queries
Maintain proper billing records and documentation
Administrative Support
Ensure learner and billing data is accurate and up to date
Coordinate with internal teams on enrolment and payment status
Perform basic administrative tasks related to course operations
What we're looking for
Minimum GCE "O" Level or equivalent
Prior experience in admin, billing, or customer service roles
Comfortable with phone communication and administrative work
Basic knowledge of invoicing and billing processes
Proficient in Microsoft Excel and email communication
Detail-oriented, organised, and able to follow procedures
Clear and professional communication skills
Able to work independently and handle repetitive tasks accurately
