Job Description

our primary responsibility will be managing the booking travel, office reception, facilities, equipment and supplies. You will also process some expenses and vendor payments via the SAP Concur system amongst other duties. Summary Your primary responsibility will be managing the booking travel, office reception, facilities, equipment and supplies. You will also process some expenses and vendor payments via the SAP Concur system amongst other duties. You will have an excellent level of customer service to both internal and external stakeholders along with being encouraged to continuously find ways of improving processes and tasks as well as lead or take part in adhoc projects. Responsibilities Travel admin support with travel agent for employees' flight and accommodation Processing corporate credit card expenses, vendor invoices and employees' expense claims via SAP Concur Approving Admin related requests and expenses via SAP Concur Manage expat tenancy and repatriation administrative procedures Reception duties - meeting and greeting, answering and transferring calls from the main line Meeting rooms - booking on behalf of the business and keeping them tidy Coordination of meetings and - for both visitors and employees Pantry - ordering pantry supplies when needed and maintaining stocks supplies Ordering stationery, business cards and maintaining office equipment Management of office access cards Facilities - coordinating with admin team on aircon servicing, lights, and office cleaning Subscriptions - of newspapers and magazines, mobile data plans, etc Memberships - Tower Club, Sentosa Golf Club, etc Mail - arranging local and overseas courier, posting mail, collecting mail from letterbox Printing and binding of meeting materials for the business Restaurant & taxi bookings Fire Warden - maintaining staff register, facilitating evacuation during fire drills and emergencies General Insurance - process annual renewals via our broker, Kyoritsu Insurance Brokers Intranet - upload policy updates, user guides, event photos and when necessary Others - supporting the quarterly Happy Hour, annual company party, CSR events, etc Qualifications Previous experience in the above essential Basic PC skills including using of Microsoft Word and Excel required A good level of verbal and written English essential Knowledge of SAP Concur preferred EA Reg. no.
