Job Description


About the role

Your main role are:

  • General Office Administration & Support - provide general support and requests from office.
  • Provide administrative support & upkeeping of office premise.
  • Customer Service Support - responsible for the overall customer service-related functions with interacting and managing customers, factories, logistics and other internal stakeholders (e.g. Sales, Finance Shared Service Centre) to ensure overall business operation runs smoothly and on time order processing done.
  • Responsible for the administrative support of site audit services, maintaining up-to-date records & liaise with factories, customers & internal/external stakeholders for the smooth running of business operation.
Key responsibilities specific to the role:

a) General Office Administration & Support
  • Provide administrative support to Sales and Technical teams.
  • Maintain up-to-date customer & mass media database, order processing records & proper filing of documents.
  • Attend incoming calls, banking and arrange courier service for parcels
  • Upkeeping of office premise
  • Assist to verify documents prior to submission of documents to SSC
  • Assist to prepare non-sales Works Order, logistic arrangement for technical related requests & promotional samples
b) Customer Service Support

Site Audit Services
  • Billing of all site audit services - Proforma Invoice and Tax Invoice
  • Assist in the creation of new SAP customer account
  • Assist to liaise with customers for their service requests
  • Attend to walk-in customers for the collection of certificates
  • Maintain up-to-date PASS Statement & Inspection Record
  • Send monthly PASS Statement to PASS Holders
  • Ad-hoc Master Data maintenance
  • Upkeeping contractors, architects and consultants databases
Order Processing
  • Assist to verify purchase order price against quotation
  • Process orders through SAP software system.
  • Liaise with factories and transport/courier vendors for goods deliveries.
  • Liaise with customers to manage required Estimated Time of Arrival (ETA) to actual ETA.
  • Prepare & organize all shipping documents, shipping marks, et., as required for the orders.
  • Maintain up-to-date the order processing record for easy offline tracking and analysis.
  • Digital filing of all documents relating to the purchase and sales order.
  • Ad-hoc Master Data maintenance.
About you

What the successful candidate will bring to the team:
  • Possess minimum GCE \'O\' Level/ Higher NITEC. Fresh graduates or applicants with some working experience in customer service and office administrative work.
  • Be customer oriented.
  • Good command of English in both spoken and written is a prerequisite. Other language skills will be an added advantage.
  • Able to adapt in a dynamic & fast changing environment.
  • Able to work with minimal supervision & independently without compromising as a team player.
  • Possess a positive attitude and good communication skills dealing with all relevant parties.
  • Proficient in MS Office. Knowledge in SAP is an added advantage.
Person Specification: Experience and Knowledge

We are looking for a dynamic teammate with:
  • Possess minimum GCE \'O\' Level/ Higher NITEC . Fresh graduates or applicants with some working experience in customer service and office administrative work
  • Proficient in computer knowledge especially MS Excel. Knowledge in SAP and added advantage.
  • Be customer oriented.
  • Able to manage all customer service and general office administration responsibilities independently and proactively.
  • Good command of English in both, written and spoken. Other language skills will be is an added advantage.
  • Able to work under minimal supervision, independently without compromising as a team player
  • Possess a positive attitude and good communication skills dealing with all relevant parties.
  • Able to adapt in a dynamic & fast changing environment.
