This position is for School of Computing and Information Systems (SCIS).
Procurement duties
To support faculty, colleagues and students in the procurement & purchase processes from request to actual receipt of the items & final payment.
This includes the purchase of air tickets, IT and Non-IT purchases etc.
Student helpers, Teaching Assistants
Advise and process faculty requests for student helpers and teaching assistants at the start of each term and the final payment at the completion of the term.
Resolve all faculty requests and complaints and liaise between SCIS occupants and OCIS on all matters including regular maintenance and cleaning.
To investigate non-functioning equipment and liaise with the vendor to maintain/fix the fault.
Students' activities:
Students have an internal budget and externally funded sources (e.g. Huawei, UBS etc) for their activities.
To work closely with the students from monitoring of budgeting to actual claims. There is an increase in external funders e.g. from Huawei, UBS etc for students' activities, events and competitions.
General Office management:
The Admin Executive is part of the team and is expected to support colleagues who are managing the growing number of visitors brought in by our faculty.
The staff is expected to support big school events e.g. Commencement Ceremony and assist in large-scale conferences helmed by our faculty.
Any other duties as assigned.
Qualifications:
Minimum A-level or Poly Diploma.
Attention to details and strong analytical skills.
Ability to exercise sound judgement within given policies and processes.
Good interpersonal and communication skills.
Ability to work collaboratively and with good work attitude.
Basic accounting knowledge preferred.
