Organize office and assist supervisors in ways that optimize procedures
Sort and distribute communications in a timely manner
Extensively manage e-mails including checking incoming/outgoing emails and following up as necessary
Create and update records ensuring accuracy and validity of information
Develop and carry out an efficient documentation and filing system
Schedule and plan meetings and appointments
Monitor level of supplies and handle shortages
Coordinate with other departments to ensure compliance with established policies
Assist with other ad-hoc administrative and project requirements as needed
Assist human resource department including recruitment, orientation and training of employees
Assist in termination, handling of resignations and offboarding processes
Provide administrative support to supervisors to ensure the smooth running of the company and its resources
Assist in any ad-hoc projects assigned by the superior/management team
Personal Assistant
Read, monitor, and respond to the supervisor’s emails
Prepare correspondence on behalf of your superior
Maintaining their calendar, scheduling meetings, and booking appointments
Take action points and write minutes during meetings
Make copies, order lunch, and prepare rooms for meetings
Assist with company events
Prepare reports and documentation for meetings and appointments
Managing and reviewing filing
Assist in any ad-hoc projects assigned by the superior/management team
Job Requirements:
Possess a minimum Diploma in Human Resources or Administrative/Business Studies
Minimum of 1 year of relevant working experience
Good knowledge of labour laws, policies and regulations
Good communication, writing and interpersonal skills
Team player with strong sense of responsibility and self-motivation
