Executes all general administrative and secretarial duties efficiently and accurately.
Arrangement and coordination of department events including but not limited to duty rosters, department team building etc.
Managing, printing and distribution of project\'s defect list, work specifications, variation orders
Notify sub-contractors for work completion report collection after Project Manager\'s endorsement
Handles all incoming and outgoing calls for the General Manager.
Assist senior management on contractor\'s permit renewal (Data Check)
Monitors and ensures replies to faxes, E-mails, letters and reports submitted to and from the Project Manager\'s Office.
Manage and maintain team calendar activity ( Attendance, leaves requests, business travel, etc)
Maintains confidential files.
To interface and liase with other departments for relevant information/details & feedback including dissemination of critical information on project.
Performs all administrative functions related to PMO department and project activities / tasks including but not limited to generating of daily/weekly reports as per project requirement
Reviews existing administrative processes and seek improvements to simplify and optimize for effective and productive processes
Shows keen interest of digitalization of work processes.
possess a high level of self -initiative to get things done efficiently and logically using proper data management to handle & organize a huge amount of information
Preparing & presenting data in a data analytics style in order for upper management to analyze trends to improve process efficiencies,
Manages the ISO 9001 Administration aspect of PMO incl. Non- conformance reports, opportunity for improvement (OFI), corrective and preventive action reports (CPAR)
Ensures the safety of personnel through compliance with occupational safety, health and environmental regulations.
Ensures that health, safety & environmental operation procedures are followed and counsel employees about compliance as necessary
Requirements:
GCE \'O\' Level or its equivalent, Secretarial course will be an added advantage
Minimum 3 years of experience in secretarial related role, preferably with a professional organization
Highly Proficient user of Microsoft Office products, preferably in Microsoft Excel (Vlookup, Pivot Table, Formulas, Macros)
Good knowledge of computer /enterprise resource planning (ERP) software, operation systems e.g. SAP . JD Edwards.
Experience in building BI dashboards for data insights and business analysis will be advantage
Candidates should be IT savvy, keen to keep abreast with latest IT trends, developments and possess strong interest in business analysis.
Basic competency and knowledge in digitalisation business analytics and data analytics will be an added advantage
Willing to commit overtime as and when required
Willing to go onboard vessel when necessary for special events (i.e. photo-taking, safety ceremonies, assisting VIP visitors from client side)
Excellent proficiency in English (both written and spoken)
