Job Description


Responsible for the overall administrative functions of the organization. Primary responsible for supervising the proper and timely documentations of company assets. Also responsible for supervising facilities management including facilities maintenance and repairs. KEY RESPONSIBILITIES

  • Property & Office Administration – Housekeeping, Security, Cleanliness & Sanitation (inc. Pest Control), Inventory of Office Assets, Petty Cash management, Archiving and Documentation / Office Storage, Messengerial & Clerical support work.
  • Facility Management – Utilities (Power, Water), Equipment (AC, Water Pump, Water Tank), Technical works related under property, Government Mandated Permits, Inspections of Gov’t branches.
  • Procurement – All purchases for office, facility and property needs.
  • Management of Administration Expenses ensuring minimum yet quality spending
  • Will lead and handle admin staff, and provide proper delegation of task.
  • Project Management of all new construction or renovation works.
  • Closely supervises the asset tagging and accounting to ensure that all assets are properly tagged and accounted.
  • Closely supervises and leads the annual asset inventory.
  • Thoroughly reviews costs and proposals of repairs of facilities and other fixed assets.
  • Regularly supervises the building properties and proposes improvements when necessary.
  • Closely monitors all requests from other departments and timely forwards or coordinates the same to concerned parties/employees for timely processing and proper documentations.
  • Ensures timely processing and releasing of all requests.
  • Office clerical works and processing in manner (i.e. booking travel, etc)
  • Performs other duties assigned by immediate superior.
QUALIFICATIONS
  • Graduate of any Bachelor’s/College degree in Business and Engineering, or relevant field
  • Licensed engineer is an advantage but not required
  • At Least 3 years working experience as Admin Office Supervisor / Head
  • Competencies on Property & Facilities Management, Equipment Maintenance, Project Management
  • Amenable to work on weekends and holidays.
  • Willing to travel to different locations as needed..

SKILLS AND QUALITIES TECHNICAL SKILLS
  • Preferably with proven experience in sales, business development, strategic planning, partnership, project management, conflict management.
  • Has an understanding of general finance and budgeting.
  • Background in furniture, interior design industry is an advantage.
  • Excellent communication skills both written and verbal, business correspondence and presentation skills.
