Job Scope:The incumbent would be required to provide full spectrum of administrative support for the Asia-Pacific Division of GenScript.
Provide general administrative support and coordinate office activities and operations to ensure efficient company operation
Serve as the receptionist for the APAC office and production laboratory, handling phone calls and managing correspondence such as emails, letters, and packages
Manage visitor registration, tracking, and record-keeping
Support meetings by scheduling, preparing meeting rooms, setting up equipment, and taking minutes for effective coordination and execution
Assist with business travel arrangements and negotiate corporate rates for employees
Ensure the proper function of office facilities and equipment
Procure and distribute office supplies, coordinate with vendors, and monitor inventory for regular replenishment
Lease, maintain, and coordinate company dorms, manage rental agreements, and provide local services
Maintain accurate company records and assist with financial processes and reimbursement procedures
Organize and prepare company activities and ensure smooth deliveries for internal and external admin projects
Streamline and optimize operational processes for efficiency, consistency, and compliance
Communicate and collaborate closely with inter-departments, including department heads and management
Provide backup support to other departments and teams whenever necessary
Any other projects and adhoc duties as assigned

Self-driven individual and able to work independently with minimal supervision
Excellent verbal and written communication skills in English and Chinese (as this role works closely with internal customers in China)
Proficiency in Microsoft Office Suite (Word, Excel, PPT), prior experience in SAP or any ERP system is an added advantage
