Description

  • Ensure all information for submission to the various departments is collected and submitted on time
  • Collate and submit vaccination records of residents to HPB,
  • Consolidate monthly training records for submission to HR Development
  • Consolidate the CQI and readmission data for monthly review
  • Consolidate Hospitalization and home leave forms for auditing.
  • Collate medication invoices and submit them to the Finance department for billing.
  • Ensure supplies (consumables, rations, stationery, etc) at the wards are maintained
  • Confirm residents\' appointments and arrange for their transport for an external appointment
  • Support the set up of wards for admission such as labeling of keys, trolleys, cupboards ward stock items, medication trolleys, drawers, putting up of posters, etc.
  • Prepare the new admission headboard, sticky labels, etc.
  • Print the required documents, posters, rosters, etc for the care team
  • Coordinate and prepare the logistics for meetings and staff training for the department e.g. book training venues, prepare AV equipment, distribute materials, etc
  • Ensure proper filing of documents for auditing eg Dietician review, Quality assurance monthly audit, Review of Death, induction checklist, etc
  • Ensure proper filing of all the minutes and meeting attendance.
  • Collate and submit external service timesheet to Operation.
  • Cross-cover front desk reception duties
  • Assist to tally the OT with the roster before approval by NMs.
  • Consolidate ward rosters and print them out for the wards.
  • Collate and file past roster for auditing.
  • Coordinate external training requirements and assist trainers with the preparation and setup.
  • Collate all required certifications for auditing such as BCLS, SNB, training certification, etc.
  • Coordinate 6 monthly dental services
  • Ad Hoc assignment by NM or NC.
Qualifications * Diploma or Higher NITEC/NITEC in Business Administration or GCE \'O\' level
  • Proficient in Microsoft Office/Google suite applications (e.g. Sheets, Slides, Docs, Gmail, etc)
  • At least 1-2 years of working experience in related industries and/or preferably healthcare
  • Good communication skills (oral and written)Independent, resourceful, and self-motivated
