Job Description


Job Purpose

  • Responsible for the administrative functions involving the activities related to maintenance and operations of the bus/taxi shelters and its related inventories, and advertising busiess for Stellar Ace Outdoor.
  • This role includes reports preparation, coordination with relevant internal and external parties, and attending meetings and preparing related materials, to support the business activities.
Responsibilities
  • Handle general administrative tasks related to business activities such managing correspondences, emails, calls related to maintenance and advertising activities related to bus/taxi shelters and other inventories within Stellar Ace Outdoor business.
  • Manage and response to feedbacks and requests with internal or external parties such as customers, authorities and from public related to SAO\'s business.
  • Record, track and monitor ongoing and outstanding activities related to SAO\'s business such as for advertising and maintenance of outdoor (e.g. bus stop and taxi stop) inventories.
  • Support the business and operations on related administrative processes and procedures based on company policies.
  • Prepare reports, presentations, and other documentation for meetings and presentations.
  • Prepare financial reports for management presentation, billing and related tasks.
  • Plan and schedule routine and adhoc maintenance and cleaning activities with internal and external parties - include contractors, suppliers, and authorities.
  • Liaise with external vendors, suppliers, and clients to ensure smooth business operations.
  • Organize and maintain physical and electronic files, records, and databases, ensuring accuracy and confidentiality.
  • Conduct research and provide administrative support to various projects, as assigned.
  • Coordinate any activities related to advertising activities for the advertising panels/boards/mediums related to taxi/bus shelters, overhead bridges, passage linkway, etc.
Qualifications & Work Experience
  • Diploma in Business Administration or equivalent, and preferable with 2 years of relevant experience.
  • Self-motivated, always striving to improve or meet a standard of excellence.
  • Able to communicate effectively and work in and as a team.
  • Confident to manage contractors and liaise with customers for reporting and administrative works.
  • Proven work experience as an Administrator or similar role
  • Good knowledge of Excel (using formulas and creating spreadsheets), Words, Powerpoint and tools related to administration, reporting, bookkeeping and presentation.
  • Solid data entry skills with an ability to identify numerical errors
  • Good organizational and time-management abilities
