Support CEO in full spectrum of secretarial/administrative work and/or duties as assigned by CEO.
Managing calendar of team members and be responsible for scheduling meetings, conference calls, video conferences both internally and externally
Coordinate info & logistics for overseas trips - flight booking, cancellation, billings and refunds, application of visas for staff, sourcing of hotels and car rentals for business travellers.
Assisting in printing of presentations, documents & proposals
Completing credit card expenses and out of pocket business expenses claims for senior management staff
Preparation and set up of refreshments for major meetings
Office Equipment maintenance
Ordering of office supplies and courier services
StarHub Phone System Administrator and application of Starhub mobile phone line for employees
Ordering of IT equipment for new employee
Asset tagging for office equipment
Co-ordinate and liaise with required personnel for signatures of documents
Go to bank for banking issues for capital calls for various projects
Assisting Corporate Secretariat in setting up Board Meeting
Liaison with parent company and overseas office to coordinate meetings
Maintain master list of company's policies in Shared Folder for employees' viewing
Admin on/off boarding for staff
Programme digital access for all employees on office and equipment access
Maintenance of the Master Access Card Allocation List
Provide office orientation to new employees on office access and location of various equipment
Terminate access for resigned employees including collection of office asset.
