Job Description


POSITION SUMMARY:

Primarily responsible for office support, administrative, receptionist and travel related matters for visitors and employees. Report directly to APAC Facilities Director and dotted line to the Site Leader in Singapore.

ESSENTIAL RESPONSIBILITIES:

  • Ensure office administrative activities run smoothly on a daily basis
  • Answering telephone calls, responding to queries/emails and attending to guests/visitors
  • Handle all incoming and outgoing mails and packages, including courier service
  • Arrange and support travel, accommodation and business visa related matters for visitors and employees
  • Manage office and pantry supplies and order new supplies as needed
  • Manage name card/employee card printing and indirect purchases (eg. employee card holder/lanyard, masks/sanitizer, gifts for new born/wedding etc.) including purchase orders in the system
  • Maintain office equipment in good condition and liaise with vendor for servicing/maintenance matters
  • Scheduling and booking of conference/meeting rooms as required
  • Organize all in-house and external events when needed
  • Organize an effective filing and mailing system for company documents/mails etc.
  • Preparing expense reports and office budgets
  • Implement or update office policies as needed
  • Prepare reports and presentations with statistical data as needed
  • Liaise with Mapletree for carpark application at 18 Tai Seng
  • Coordinate EH&S program initiatives eg. weekly fruit day as assigned
  • Be part of EHS Risk Assessment team and fire warden for Office
  • Any other duties assigned by the superior and/or Site Leader
WORK ENVIRONMENT:

Works in a standard office environment utilizing standard office equipment.

SKILLS:
  • Good working knowledge of office procedures, equipment and tools
  • Proficiency in Microsoft Office applications
  • Ability to multi-task, strong organization skills with a problem-solving attitude
  • Proactive and possess strong communication and interpersonal skills
  • Supportive, responsible and cheerful
  • Service orientation
EXPERIENCE:

Essential:

3-4 years of general office administration experience or related field is required for this position

Desirable:

SAP experience

EDUCATION:

Diploma in Business or related field
