Admin/operations Assistant

Job Description

1. Administrative Support


Perform daily administrative tasks to support the operations team.


Prepare, maintain, and update operational records, reports, and databases.


Assist with documentation, filing, and data entry to ensure smooth workflow.




2. Coordination & Communication


Liaise with internal departments such as HR, Finance, and Logistics to ensure seamless business operations.


Communicate with vendors, suppliers, and service providers to fulfill operational requirements.


Coordinate meetings, schedules, and operational activities as needed.




3. Operations Support


Monitor and support day-to-day operational activities.


Track and follow up on pending tasks, delivery schedules, and project timelines.


Assist in process improvement initiatives and contribute to workflow efficiency.




4. Procurement & Inventory (if applicable)


Support the purchase of office and operational supplies; ensure adequate stock levels.


Maintain inventory records and assist in periodic stocktaking activities.


Verify invoices and delivery orders against purchase requests to ensure accuracy.




5. Documentation & Reporting


Prepare reports, summaries, and presentations for the operations or management team.


Ensure all documentation complies with internal policies and regulatory requirements.


Update Standard Operating Procedures (SOPs) and maintain version control of documents.

Requirements


Communication & Problem Solving: Strong multitasking skills, ability to make quick decisions, and effectively resolve operational issues.


Team Player: Comfortable in a fast-paced environment, able to collaborate with drivers, operations teams, and clients.


Experience: Minimum 1-2 years of experience in logistics, dispatch, or operations roles.


Industry Knowledge: Familiarity with transport regulations, fleet management, and logistics workflows is highly preferred.
