Job Description

The position is responsible for providing administrative and clerical support services to the department to ensure that its operations run smoothly and efficiently. This will include implementation of systems and procedures and monitoring proper documentation of all administrative transactions.WORK DESCRIPTION: General Office ManagementDocumentation and Monitoring

  • Provides clerical and secretarial functions to the Manager.
  • Monitors attendance of the department and prepares payroll reports every cut-off.
  • Ensures that all licenses and permits related to importation from different LGUs are updated, processed and filed.
Systems and Procedures
  • Creates and updates systems and procedures as necessary to be able to:
a. Encourage the team to perform following the best operating practices,b. Maintains an efficient filing/records system, forms control, office layout, and budget for the department,c. Determines procedures for records retention and storage to ensure its security.Communication Management
  • Assists in travel/transportation arrangements of the department.
  • Prepares detailed contact providers.
  • Coordinates with the broker, forwarder, supplier and warehouse pertaining to import documents and other related importation activities.
  • Coordinates with the lessor all related concerns pertaining to but not limited to maintenance, utilities concern.
  • Coordinates with the Head Office for business permits and licenses and property insurances concerns.
Office Supplies and Equipment, Purchasing and Inventory Management, Preventive Maintenance, Purchasing & Warehouse Assistance and Accounting Assistance.REQUIRED JOB COMPETENCIES: Resilience - staying calm and focus especially in a high pressured environment.Multi-tasking and coordination skillsSolution-oriented and has high levels of customer service skills to interact with difficult clients or responsibilities.Strong organizational and time management skills.BASIC PERSONAL QUALIFICATIONS: Bachelor's degree in Business Studies/Administration/Management, or equivalent.At least 2 years work experience as an Administrative Assistant.Proficiency in Microsoft Office Applications.Job Types: Full-time, Permanent, Fresh graduateSalary: Php15,000.00 - Php16,000.00 per monthBenefits:
