The Assistant Document Controller should have at least 2 years of construction experience and will be ultimately responsible for Project Document Control. Roles & Responsibilities

  • Provides effective document control support to project teams;
  • Maintains technical documents, drawings and all correspondences in an up-to-date, accurate, effective and efficient manner;
  • Ensures that all maintenance of documents are in accordance with Document Control procedures;
  • Inputs and maintains document data into standard registers ensuring that information is accurate and up to date for both incoming and outgoing project documents as well as drawings;
  • Ensures that all hard and electronic copies are logged, filed and uploaded to project server and portal as required by the project for easy traceability, retrieval and reference;
  • Generates various document control reports as required;
  • Ensures that controlled copies of latest approved documents and drawings are distributed to appropriate staff, subcontractors, suppliers and clients as applicable;
  • Maintains updated records of all approved documents and drawings and distribution list clearly;
  • Maintains the files and control logs as required by the project;
  • Prepares and ensures that all project documentations are archived both in hard copies and electronically upon completion of project;
  • Assists in maintaining drawing racks are up to date;
  • Tracks promptly on the incoming contractor, vendors correspondence / drawings and expedite / monitors/ reports on reply durations;
  • Administer the DPR Project Management tools - Procore and Box systems on the projects.
  • Prepares and updates Master List of SOPs for project specific SOPs and Quality Management System (QMS) for the project to align with the corporate QMS.
  • Ensures that all project team members are aligned with Project SOPs and other applicable regulatory requirements.
  • Participates in Project Quality Review in conjunction with Engineering / Construction phases of the Project and ensures appropriate closure of observations / issues raised from review, generation of final close-out report.
  • Ensure that Project Specific SOPs / Plans / Guidelines are appropriately authorised for implementation and adequate training provided for both internal and external team (subcontractors / vendors).
  • Develops, implements, and manages an effective audit schedule focusing on the key work processes, and quality related activities undertaken during the project lifespan.
  • Reviews, approves, or issues in a timely manner all quality reports / records, Quality Plans, Inspection Test Plans, SOPs and GDP applications.
  • Issues approved SOPs with relevant forms and records to the Subcontractor / vendors at kick off meetings to be used during construction stage for proper documentation.
  • Ensures systematic documentation turnover system for all Project Quality-related documentation.
  • Coordinates with Supervisor / Package Owners to follow the approved SOPs and forms throughout the Project duration.
  • Supports senior QAQC Manager for assigned ad-hoc duties.

Qualifications
  • GCE ‘O’ Levels or equivalent
  • 2 to 3 years of relevant working experience
  • Experience in Building/Construction and or Life Science industry preferred
