During the pre-award stage: Assist faculty members who are interested in applying for research grants, and review research grant applications so as to ensure that the applications meet the funding agencies\xe2\x80\x99 requirements.
During the post-award stage: Assist faculty members in the submission of progress reports and grant variations. This includes advice on justifications for grant variations, checks for accuracy, consistency, and completeness for the various reports to be submitted to the funding agencies.
Prepare various reports to ensure timely reporting and submission to external funding agencies in accordance with grant requirements.
Maintain ORe grants intranet page to ensure all grants-related information is updated for SMU community looking for external funding opportunities.
Provide administrative support for external grants management systems used by major funding agencies like MOE, NRF, A*STAR and MOH (e.g., Integrated Grants Management System (IGMS) and i-Grants) to facilitate SMU faculty\xe2\x80\x99s grant applications on these systems.
Provide administrative support for SMU\xe2\x80\x99s internal review process for MOE grant submissions.
Research Administration Metrics
Support the collation and generation of external stakeholder research admin metrics reports such as the MOE PGRRQ report and ensure the accuracy and timeliness of such reports.
Office Administration and Operations
Handle office procurement and petty cash claims.
Maintain office supplies and manage fixed assets inventory.
Maintain office registry and provide filing support.
Provide HR-related and general staff support, including the on-boarding and off-boarding of staff and general administrative support for issues related to office workstations, telephones, laptops, photocopier, etc.
Support ORe in coordinating meetings with various stakeholders (such as meeting arrangements, refreshments, meeting room bookings, logistics, etc.).
Support ORe in organizing events and activities (such as coordination with key stakeholders, logistics, post-event activities, etc.).
Provide administrative support for Director (ORe).
Other Duties as assigned
Perform other duties as and when assigned.
Qualifications:
At least a Diploma in any major.
Minimum 5 years of working experience is preferred.
Prior experience in research grants administration and office management will be advantageous.
Excellent communication skills (written and spoken) and interpersonal skills to be able to communicate effectively with and influence internal and external stakeholders.
Pro-active, independent and resourceful.
Meticulous, attention to detail, and exercise care in delivering quality work.
Proficient in the use of Microsoft Office Word, Excel and PowerPoint.
Proficient in the use of online meeting platforms for virtual meetings such as Zoom, Microsoft Teams, Cisco WebEx.
