Assistant Manager - Property Management
This property management firm specializes in industrial and logistics real estate, overseeing daily operations, maintenance, and facility enhancements. Their services include procurement, vendor coordination, budget planning, and asset enhancement initiatives, with a focus on sustainability and efficiency. The firm works closely with asset management teams, tenants, and service providers to ensure well-maintained properties that meet the needs of all stakeholders, playing a vital role in supporting global supply chain infrastructure.Key Responsibilities:

  • Oversee the procurement activities for the Property Management team, including handling negotiations, the tendering process, vendor due diligence, and ensuring contractual obligations are met for all term and specialist contractors. This role also involves planning, issuing, and following up on Purchase Orders within the Yardi system to ensure smooth logistics operations.
  • Manage and supervise contracts related to property maintenance, such as cleaning, fire protection, landscaping, elevators, pest control, and security, while addressing disputes with service providers when necessary.
  • Design and implement innovative programs and processes aimed at reducing utility costs, boosting productivity, achieving savings, and driving green initiatives.
  • Take charge of preparing, planning, and controlling the annual budget for property management, covering both operating and capital expenditures.
  • Regularly update and review the Standard Operating Procedures (SOPs) related to the Property Management function.
  • Support the Asset Management team in executing all approved asset enhancement initiatives (AEIs) and improvement plans.
  • Work closely with the Asset Management/Leasing team to facilitate tenant onboarding and maintain records of all tenancy-related documents.
  • Monitor and track lease obligations, ensuring full compliance and attention to critical dates across the portfolio.
  • Foster relationships with service vendors by conducting regular meetings and occasional site visits to better understand their service commitments and offerings.
  • Oversee all administrative tasks for the logistics buildings, including organizing and executing the annual tenant survey program.
Key Requirements:
  • Degree or Diploma in Building Services, Real Estate Management, Facilities Management, or a related field.
  • 3 to 5 years of experience in the real estate industry.
  • Experience managing industrial or logistics properties.
  • Familiarity with Yardi is a plus.
  • Strong communication and interpersonal skills.
  • Strong organizational, analytical, and problem-solving abilities.
  • Proficiency in spoken and written English is essential.
Working Relationships:
  • Internal: Leasing, Lease & Property Management, Legal team, Finance team.
  • External: Relevant government authorities, industry/trade associations, agencies, consultants, and contractors.
