Job Description



What the role is

Using the workplace as a key asset, this role will require the individual to take a holistic approach to creating the optimal work environment for employees to stay productive in their work. This is achieved while working closely with the team to ensure the smooth running of the day-to-day operations of the offices, including but not limited to tasks like putting up of tenders for various contract, managing of vendors, budgeting, and project management. We are looking for a detail-oriented, passionate individual and a team member to be part of the team who will drive and be responsible for planning and managing the workplace. You will play a critical role in delivering the workplace experience that is in line with the corporate culture and corporate objectives. You understand as your role that space and place play should ensure staff can operate at their best.
Facilities Management

  • Manage the day-to-day operations of the office, including the office process, office access provisioning and sanitising processes, mails and office supply and equipment management.
  • Supporting the execution of Business Continuity Plans, in the event of crisis.
  • Liaising with landlords and management offices on matters related to building, maintenance, safety and car-parking, etc
  • Take charge of the planning for and tracking of workplace budgets and expenses.
  • Secure and manage external vendors and be responsible for tracking outcomes through SLAs and KPIs to ensure that projects are executed according to plan, delivered on time, and kept within budget.
  • Supervise in the execution of events organised within the office premise.
  • Ensuring proper security coverage and protocols like CCTV and card access system.
  • Procure for services and manage projects, including contract and vendor management.
  • Performing periodic checks on outsourced vendors.

Workplace Experience
  • Serve as a workplace ambassador and act as trusted partner to your colleagues and guests to enhance their experience when in the workplace.
Establish and continually optimize processes to improve the work environments that enhance the employee experience and adhere to health, safety and security regulations and workplace green initiatives.
  • Any other matters as may be assigned by your RO and HOD (Administration).
Personal Competencies: Good disposition Innovative Emotional intelligence Communication skills Multi-tasking ability Good stakeholder engagement Skills & Knowledge: Good technical knowledge of building, facilities management. Experience in Government procurement process and project management would be a plus though not mandatory.
