Job Description


:The Assistant Registrar is responsible for a range of museum registration activities relating to the Gallery\'s exhibitions and the National Collection. This includes enabling access to collections, ensuring professional collections standards and good collections governance and compliance.Key ResponsibilitiesArtwork Information Management

  • Manage all artwork information relating to loans and exhibitions in systems and databases including loan agreements, receipts and related documentation.
  • Manage and maintain artwork records for incoming and outgoing loans in RFID Artwork Management System (RAMS) and Singapore Collections Management System (SCMS) to ensure that data is accurate, complete and meets organisational requirements and other relevant standards.
  • Provide administrative and operational support for RAMS.
Artwork Loans
  • Receive, uncrate/crate, pack/unpack, inspect, document and tag incoming artwork loans.
  • Organise and coordinate transportation of artworks (local and international) for incoming loans and outgoing loans/travelling exhibitions.
  • Ensure suitable risk mitigation measures are in place (e.g. insurance, appropriate transportation methods and environmental conditions) to facilitate lending and borrowing.
  • Negotiate with borrowers and National Heritage Board (NHB) stakeholders the terms and conditions for outgoing loans including liability, transport, display and environmental requirements, and costs.
Governance & Compliance
  • Support annual NHB National Collection stocktake exercise.
  • Adhere and comply with legal and regulatory requirements, contractual obligations and documentation standards relevant to registration and collections activities.
  • Develop, maintain and review processes and guidelines relating to Artwork Management.
Knowledge Management
  • Develop case studies related to Artwork Management.
  • Contribute to knowledge sharing activities with internal and external audiences.
Qualifications:
  • Degree in any relevant discipline.
  • Prior working experience in registration/collections management is an advantage.
  • Excellent written and verbal communication skills with the ability to liaise effectively with people internally and externally at different levels.
  • Strong attention to details and problem-solving skills.
  • Flexible in approach with the ability to adapt readily to changes and different requirements whilst keeping to organisational standards.
  • Good interpersonal skills and able to work collaboratively in a team environment.
  • Proficient in Microsoft Office (Outlook, Word, PowerPoint and Excel).
