The School of Continuing and Lifelong Education (SCALE) was established to drive the expansion of NUS\' lifelong learning offerings in a concerted and strategic way that furthers our mission to be a leading global university, as well as fulfil our role as a public university of Singapore, shaping the future.

Drawing on unparalleled access to the multi-disciplinary expertise of 16 other NUS Faculties/Schools, SCALE offers youth, executive and professional development/education programmes, part-time and full-time degree programmes, as well as modular courses that may be taken singly or stacked towards certificates/diplomas/degrees that meet the lifelong learning needs of individuals. All programmes are designed and developed in consultation with the industry to ensure relevance and currency.

About the Role

To augment our manpower resources in the School, we are looking for a suitably qualified candidate to join our Lifelong Education & Training (LET) Unit.

Reporting to the Associate Director (Information Management), the incumbent shall assist in a wide range of administrative duties to ensure efficiency and effectiveness on training & development events as well as communications.

This role is offered on a 3-year renewable contract basis in the first instance, with the prospect of a regular open employment contract thereafter subject to satisfactory job performance during the first 3 years.

Remuneration is based on a 12-month salary structure, with annual variable bonus subject to the incumbent\'s performance and the University/School\'s prevailing remuneration policies.

The incumbent will be emplaced at an appropriate appointment grade based on his/her individual merits.

Key Duties and Responsibilities

  • Deliver allocated events and projects, undertake detailed logistical planning and administration as necessary
  • Foster strong working relationships with event partners and participants
  • Plan, coordinate and manage the effective practical delivery of training and any other key specific events, including budget forecasting and management, risk assessments, venue booking, catering, AV equipment organisation, organise and produce projects and events related materials and documentation
  • -Develop effective event marketing and engagement strategies
  • Preparation, production and distribution of training publicity material and collateral; writing, editing, liaising with key staff members and proofing all copies
  • Develop a communications and events calendar for oversight management purposes in collaboration with the other teams within the LET Unit
  • Identify communication methodologies and tools to schedule and organize events and related processes-feedback, follow-ups, and notifications
  • Establish service and communications protocols and initiatives to boost audience engagement
  • Ensure the efficient and effective use of the LET staff training budget, monitoring for correct use and quality control
  • Manage relationship with external PR individuals or CET units as required
  • Manage the handling of general enquiries via phone call or emails
  • Participate in cross team projects to keep abreast of other teams\' key work functions
  • Perform other duties, and/or participate in regular and ad-hoc events/projects, as may be assigned
Requirements

Academic & Professional Certification
  • At least a Bachelor\'s degree in Communications, PR, Social Science, Education or a related field
  • IT savvy and proficient in MS Office applications
  • Proficiency in Adobe design software e.g. Illustrator, InDesign an added advantage
Experience & Attributes
  • At least 5 years of related working experience preferably in event organization or communications in an education institution
  • Strong organizational skills with the ability to manage training operations and vendors
  • Experience in organizing workshops, seminars and large-scale events like symposiums and conferences will be an added advantage
  • Able to think out of the box and to integrate creative ideas in managing events
  • Experience in e-learning design and implementation an added advantage
  • Excellent verbal & written communication and interpersonal skills with a positive work attitude
  • Strong team player who is meticulous, resourceful, resilient and thrives in a fast-paced, results-oriented and ambiguous work environment
