Position Title: Business Operations Executive

  • Add value to and contribute to the effectiveness of the Head of department (and other areas of the business as required) by providing comprehensive administrative support.
  • Fast track career opportunity for a fresh and dynamic graduate with 2-3 years of job experience who wants to get experience across different job verticals in a media organisation.
About the role Administrative (15%):
  • Manage and support Head of department’s calendar, leave approval systems, SAP ARIBA (invoices, vendor payments and other administrative approval systems) travel bookings, claims and other administrative duties whenever required.
  • Assist the office administrator with general office duties whenever required.
  • Organize meetings which may involve liaising with Facilities to book venue, catering, book conference rooms, etc.
Sales Support (10%):
  • Support documentation for Head of department's proposals – help to issue sales contracts, organise PowerPoint presentations, business proposals, etc.
  • Provide support for Media sales team – help the salespeople issue sales contracts when they are traveling, act as a sales liaison, when necessary, etc
  • Coordinate between finance and sales teams around payments, and any other communications, prepare or support POs, vendors liaison, etc.
  • Act as a point of contact for internal and external customers and address their queries.
Event support (10%):
  • Singapore-based event support onsite and other event tasks when assigned.
  • If candidate shows aptitude for content and research, this person can be assigned with a product vertical to research on award programmes or write a conference programme.
Management support (20%)
  • Prepare confidential reports and analysis and present the results.
  • Conduct internet and internal systems research if need arises
  • Write and edit reports for manager Prepare presentations, often using PowerPoint or other office tools.
Marketing support (20%):
  • Write marketing briefs, create, or support marketing projects
Web support (25%):
  • Support website upgrades and troubleshoot website issues
  • Assist to update content on website
  • Work with managers to gather and evaluate requirements
  • Work with developers to execute requirements
About you
  • Bachelor degree in any field
  • Fluency in English, advantageous in other Asian language.
  • Detail oriented, meticulous and good with paperwork/ administrative systems
  • A team player, a team supporter, able to connect with colleagues, cheerful personality.
  • Good time management skills, demonstrates strong organisation skills and willingness to learn new systems, software and tools
  • Proactive in problem solving and providing suggestions to the team
  • Strong written and verbal communication and telephone skills as this role requires close coordination with colleagues across various TR offices in different countries.
  • Good Microsoft office skills – ability to use Word, Excel, PowerPoint, and other tools effectively.
  • Good to have basic knowledge of Google Analytics and MailChimp or demonstrate willingness to learn
  • Pleasant to work with – role may be required to liaise with customers from time to time.
  • Min 2 years of work experience in an office environment.
