We are seeking a highly organized, proactive, and discreet

Business Personal Assistant

to provide comprehensive administrative and personal support to our visionary CEO. This pivotal role will be instrumental in optimizing the CEO's time, managing complex schedules, and ensuring seamless operations across both business and personal priorities. The ideal candidate will thrive in a fast-paced environment, possess exceptional communication skills, and have a genuine interest in the cryptocurrency space.


Key Responsibilities:



Executive Support & Calendar Management:



Proactively manage and optimize the CEO's complex and dynamic calendar, including scheduling meetings, appointments, and conferences across multiple time zones. Prioritize commitments and resolve scheduling conflicts efficiently and effectively. Prepare agendas, meeting materials, and follow-up documentation for all executive engagements. Act as a gatekeeper, managing access to the CEO's time and office to maximize productivity. Serve as the primary point of contact for internal and external communications directed to the CEO, ensuring professionalism, promptness, and confidentiality. Draft, review, and edit correspondence, presentations, and reports on behalf of the CEO with a high degree of accuracy and discretion.

Travel & Logistics:



Coordinate all aspects of business and personal travel arrangements, including booking flights, accommodation, ground transportation, and managing visa applications. Prepare detailed itineraries and ensure the CEO is well-prepared for all engagements. Process expense reports and manage reimbursements accurately and promptly, maintaining meticulous records.

Project Management & Operational Support:



Support strategic projects and cross-functional initiatives as assigned by the CEO, including research, data collection, and presentation preparation. Anticipate needs, proactively identify and unblock bottlenecks, and adapt to changing priorities in real-time. Assist with general administrative tasks to ensure the smooth operation of the CEO's office. Collaborate effectively with other executive assistants and internal teams.

Personal & Confidential Support:



Handle confidential and sensitive information with the utmost discretion and professionalism. Manage personal tasks and errands for the CEO, which may include household coordination, medical scheduling, vendor management, and event planning. Assist in nurturing and expanding the CEO's professional and personal relationships.

What we're looking for



Significant experience as a Personal/Executive Assistant, ideally supporting a C-suite executive Exceptional organisational skills and the ability to prioritise a varied workload Strong verbal and written communication skills with excellent attention to detail Proficient in using Microsoft Office suite, including advanced skills in Outlook, Word and PowerPoint Ability to work independently, use initiative and exercise sound judgment Proven track record of discretion and the ability to maintain confidentiality Excellent Communication and reporting skills in both Chinese and English is a must Relevant industry knowledge and experience is a plus

Qualifications:



Bachelor's degree or equivalent practical experience. Minimum of 5 years of proven experience as a Personal Assistant or Executive Assistant supporting C-level executives, preferably in a fast-paced, high-growth environment.

Strong understanding and genuine interest in the cryptocurrency, blockchain, and Web3 industries is a mandatory requirement.

Exceptional organizational and time-management skills with the ability to manage multiple priorities and complex schedules. Excellent verbal and written communication skills with a clear, concise style and a high degree of professionalism. Demonstrated ability to handle confidential and sensitive information with discretion and integrity. Proficiency with modern productivity tools (e.g., Google Workspace, Microsoft Office Suite, Slack, Notion, project management software). Proactive, self-starter with a "can-do" attitude and a strong problem-solving mindset. Ability to work independently, take initiative, and adapt to a dynamic environment with last-minute changes. Strong interpersonal skills and the ability to build relationships with internal and external stakeholders at all levels. * Experience with travel coordination and expense management systems.
