The Central Screening Unit is part of the COO Division of Julius Baer Singapore (BJBS) in Client Documentation Services Department, within Private Banking.
The Central Screening Unit (CSU) is responsible to conduct name screening, review the results and provide appropriate comments. Each member of the team works proactively with the business, and other internal functions. He/she is responsible for the accurate and timely processing of the account opening, as well as the efficient handling of enquiries. Overall, CSU supports name screening for various processes like onboarding, Change-in-Circumstances (CIC) and Periodic Review.
The expectation of CSU officer is to review and assess the name screening results and escalate potential true hits with AML/KYC risk to KYC/Compliance officers, in accordance with internal policies and procedures.
This role is positioned as the Deputy Head of CSU.

General responsibilities of the role includes, but is not limited to :
People Management

• Conduct regular performance evaluations, provide feedback, and develop growth plans for team members
• Identify training needs, create development plans, and implement strategies to enhance team skills and knowledge
• Effectively allocate resources, prioritize tasks, and manage workload to ensure efficient team operations
• Foster open communication, encourage collaboration, and facilitate conflict resolution within the team
• Set clear goals, objectives, and expectations for the team, aligning with organizational strategy
• Promote a positive work environment, recognize achievements, and motivate team members to achieve high performance
• Participate in recruitment processes, including interviewing, selecting, and onboarding new team members
• Manage employee relations, address grievances, and ensure compliance with company policies and procedures

Supervisory Responsibilities

• Supervise and coordinate the daily activities of team members, ensuring timely completion of tasks and projects
• Assign and delegate tasks to team members, providing clear instructions and expectations
• Monitor and evaluate the quality of work produced by team members, providing feedback and coaching as needed
• Investigate and resolve issues, complaints, or concerns raised by team members or stakeholders
• Ensure team members comply with company policies, procedures, and regulatory requirements, identifying and mitigating potential risks
• Analyse and improve workflows, processes, and procedures to increase efficiency, productivity, and quality
• Prepare and submit reports, dashboards, and other metrics to measure team performance, progress, and areas for improvement
• Travel to various locations (including international destinations) to supervise, inspect, or participate in meetings, audits, or other business activities
• Build and maintain relationships with internal and external stakeholders, including customers, vendors, and partners
• Share knowledge, best practices, and expertise with team members, promoting a culture of continuous learning and improvement

Client Management (internal)

• Perform name screening and searches on prospective clients and existing customer base
• Assist the team in checking quality of submission for name screening and where required, request further information from Front Office
• Review and disposition of hits adequately documented and promptly escalate all true and potential hits within the required timeline
• Ensure quality service is provided to internal clients i.e. Relationship Managers / Assistant RMs
• Perform quality assurance checks on work done by other business units when required

Business Management

• Strong commitment to quality service and a desire to drive continuous process improvement initiatives
• Support new initiatives and ad hoc tasks as assigned by HOD
• Support the team in user acceptance testing
• Work with the business on process alignment, especially between APAC offices

Regulatory Responsibilities &/OR Risk Management

• Ensure adherence to relevant regulatory laws, compliance policies and procedures when performing quality review
• Work with Compliance and other stakeholders
• Demonstration of appropriate values and behaviours including but not limited to standards on honesty and integrity, due care and diligence, fair dealing (treating customers fairly), management of conflicts of interest, competence and continuous development, adequate risk management, and compliance with applicable laws and regulations

Professional and Technical

• Degree / Diploma holder with at least 5 years of relevant experience in name screening will be an advantage.
• Good MSOffice software knowledge and aptitude for technology
• Good command of both written and verbal in English and Chinese
