Main Duties

Responsible for managing BOS SGP corporate offices - daily operations and maintenance of premise facilities, MAC and project to ensure a smooth, safe and conducive work environment.

Responsibilities

Facilities Engineering:-

  • Oversees offices/facilities maintenance - ensure regular maintenance contracts are in place, servicing is completed in a timely and effective manner.
  • Supervise all term contractors and ensure that they deliver the contractual level of service standard.
  • Manage and monitor the efficient operation of the office critical system and equipment.
  • Recommends maintenance, mechanical, electrical, plumbing and facility design modification
Security:-
  • Manage office security surveillance systems - Card Access System and CCTV Surveillance System.
  • Manage the daily admin of programming and issuance of office access cards for new hires/users, change of profiles for existing staff etc.
  • Work with landlords on facilitating the building gantry access using the office access cards.
  • Generate card access report to departments for their review.
  • Overseas physical security and internal system (Card Access System and CCCTV Surveillance System) to ensure protocols are followed and met.
Project Management:-
  • Oversee and manage the capex works, enhancement works, repairs & maintenance works including contract documentation.
  • Assist in the process of tendering, evaluation, recommendation and awarding of contracts.
  • Provide pro-active Move/Add/Change (MAC) services from project inception to completion/feedback to achieve the successful completion of the project within agreed cost, time and quality parameters.
  • Gather, organize and verify space planning data to determine the most efficient and cost-effective method of layout/space utilization.
  • Work with contractors to conduct test fits and project execution.
  • Obtain stakeholder\'s approval on all final designs and vendor\'s cost to proceed with work.
  • Attend regular meetings with contractors and stakeholders regards to MAC and project works.
  • Maintain occupancy info and update layout changes / seating plan as and when require.
  • Manage the external warehousing for furniture storage.
Environmental Sustainability:-
  • Manages all offices and environmental sustainability initiatives, including formulating policies and innovative solutions to reduce energy consumption and carbon footprint.
  • Analyses data collected for sustainability reporting; conduct quality check and integrity of the collected data.
  • Coordinate bank-wide communications, provide awareness, user education and engagement on all environmental sustainability matters. Assist HOD to drive the ESG (Environmental, Social & Governance) initiative for the department.
  • Ensures timely re-certification of the building\'s Green Mark status and establishes improvements where necessary.
Others:-
  • Liaise and safeguard proper management of contractors and other relevant service providers.
  • Liaise with building owners and internal staff to ensure smooth operation of facilities.
  • Improve the efficiency of operational processes and system improvement.
  • Conduct regular checks of the premises for potential safety hazards and unsafe conditions, initiate corrective measures to maintain a safe and healthy work environment.
  • Responds to stakeholder inquiries and complaints. Ensure timely and quality service delivery. Follows up to ensure satisfaction.
  • Perform the role of alternate Business Continuity Coordinator for the department.
  • To provide 24/7 support when necessary.
  • Any other duties as and when assigned.

Qualifications

Requirements
  • Diploma/ Degree in Engineering/Real Estate/Property Management with at least 5 years of facilities management experience.
  • 5 or more years of facilities management experience with exposure in managing office security system and project management, preferably in a financial institution.
  • Experience in maintenance of M&E and Security System.
  • Self-motivated, driven and possess good analytical/problem solving skills.
  • Able to understand technical drawings, specifications and requirements.
  • Able to work independently, a strong team player and to handle fast paced projects.
  • Good interpersonal, written and verbal communication skills for collaboration with stakeholders across all levels.
  • Independent and ability to multi-task and meet multiple deadlines.
  • Strong in Microsoft office applications (i.e. Excel, Powerpoint, Word, AutoCad).
