Job Description


Job ResponsibilitiesProject Administrator * Manage and coordinate project administrative work, working closely with Asset Managers and 3rd party vendors

  • Manage and keep record of all the project documentations required by the Document Controller \xe2\x80\x93 vendors\xe2\x80\x99 insurance copies, permit to work, contracts etc
  • Ensure projects are on schedule and follow company compliance guidelines
  • TP-RAP/ P2P/ New Vendor Set up: Activation and ongoing monitor of vendors in company Third Party Management Platforms
  • Maintain the records of the approved supplier in system as per company procurement policy
  • Assist vendors on access to company platform for ongoing monitoring and follow up on completion of the tasks
  • CASP+/ Purchase to Purchase (P2P) Systems:
  • Maintain the records of the approved supplier in CASP+ system as per company procurement policy
  • Raise Purchase Orders to vendors \xe2\x80\x93 P2P
  • PO reviewer for requisition/ change order for all IEP project raise in P2P
  • Company Project Management Office (PMO) coordination lead from setup to closure
  • Co-ordinate with PMO team on project updates / issues
  • Assist on project documentation
  • Coordinate with supplier on the Insurance as per company requirement, and maintain Certificate of Insurance
  • Payments/ Invoices:
  • Assist eInvoice submission / payment process for Finance team
  • Rectify company PO / Invoice from vendor / payment issues and requests from P2P & Suppliers
  • Monitor and chase for tax invoices upon work done
  • Process Churn project invoices
Data Analytics, Monitoring and Performance tracking * Manage and merge data outputs from across all systems within the company Network (Includes Leasing, Facilities Management, Space & Occupancy, Utilization, financials etc.)
  • Monitor month on month change, and derive insights on potential optimizations, or strategy that arises from identified trends or anomalies
  • Other ad-hoc data analysis required \xe2\x80\x93 including visualization, insight creation, data cleaning and metric creation / baselining
Risk and Control, Others * Quarterly Exercise - MCA (Internal Audit): Collate & coordinate for audit preparation
  • Provide support in the Ongoing Monitoring exercises which comprises of all the due diligence questionnaires launched by the Third Party Utility team
  • Admin lead to guide & coordinate with admin team for administrative support
  • All other ad-hoc tasks assigned by Reporting Manager
