Business Need / Purpose of Role The Operations Executive reporting to the Operations Manager is responsible in providing professional services that meet/exceed Principal/ship masters\xe2\x80\x99 expectation. The role is to deliver Efficient Communication, Plan and Execution of port call planning. The role acts in accordance with government legislation and regulations, port rules and Inchcape procedures and policies to ensure an efficient and optimized port call and voyage. Provide high level of service delivery to internal and external stakeholders. Duties and Responsibilities:
  • Port Call Planning / Execution \xe2\x80\x93 Understand port call requirement and expectation of Principal/Ship master, Execute port call turnaround in the most cost-effective and expeditious manner. Closely monitor and update stakeholders on port call progress, Ensure Principals\xe2\x80\x99 best interests are always protected.
  • Effective Communication - Concise and timely communication with authorized recipients and stakeholders. This include but not limiting to routine pre-arrival, progress. port call updates and post-call follow-ups.
  • Statutory Declarations of a Port Call - Timely and truthful declarations to relevant government agencies relating to vessel call, not limiting to;
    Immigration and Checkpoint Authorities (ICA), Maritime and Port Authority of Singapore (MPA), Customs and Excise Department, National Environment Agency (NEA Security/Enforcement Agencies, Operators / Management of facility involved
  • On-Site Coordination - Physical attendance onboard ships or sites when necessary, providing on-site coordination of services and deliveries.
  • Provide local expert advice - Keeping abreast of latest development in port regulations, industry and ISS Policies and Procedures.
  • HSSE/Legal Compliance - Ensure all services provided comply with local regulations/guidelines set out by relevant government agencies and ISS Policies/Procedures
  • Training - Timely completion of trainings assigned
  • Utilisation of ISS Systems - Ensure full utilisation of all ISS systems (ONEDA and Optics) according to Standard Operating Procedures.
Knowledge, Skills, and Abilities
  • Prior knowledge of Maritime operations, Local law and regulations.
  • Communication skills to engage terminal representatives, principal and/or vessels.
  • Adept at Port and Immigration documentation
  • Proficiency at basic computer skills including MS office and MS outlook.
  • Must be professional in conduct and practice, and also reliable as each report are time critical.
  • Creative, responsive and adaptive in a dynamic environment
Education/Experience:
  • At least 1 year of working experience either In ship agency service industry or In Oil/Gas/Offshore industry as engine or deck cadet
  • At least GCE \xe2\x80\x9cO\xe2\x80\x9d Level with credit in English and Mathematics
  • Diploma in Maritime Studies - Preferred
