The Customer Service Coordinator is responsible for handling customer inquiries, processing orders, coordinating with internal departments, and ensuring smooth delivery of goods and services. The role requires strong communication, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
1. Customer Support & Order Management
Handle incoming calls, emails, and WhatsApp messages from customers.
Process sales orders, delivery orders, and invoices accurately in the system.
Coordinate order fulfilment with the warehouse and logistics teams.
Follow up on order status, delivery schedules, and resolve issues promptly.
2. Communication & Coordination
Act as the main contact point between customers and internal teams.
Liaise with the warehouse, logistics, and sales departments to ensure timely deliveries.
Inform customers of any delays, changes, or stock issues.
3. Documentation & System Updates
Maintain and update customer records in the system (e.g. Microsoft Dynamics / Business Central).
Prepare and file delivery documents, invoices, and other customer-related paperwork.
Generate daily/weekly reports for management review.
4. After-Sales Service
Handle customer feedback, complaints, and return requests professionally.
Ensure proper follow-up and closure of customer issues.
Maintain a high level of customer satisfaction through efficient service.
5. Administrative Support
Assist in preparing quotations, price lists, and related documents when required.
Support ad hoc duties assigned by management.
