General Description

The Data Management Mailing officer is a key member in the Accounts Management department. He/She is responsible for mailing related static maintenance in Filler, eBanking, etc. for client portfolios and agents (EAM/EFA/Finder relationships), as well as handling of ad-hoc client output requests.

Key features of the position

Client Management (internal & external)

  • Establish and build strong relationship through consistent interaction with Front Office/key stakeholders across the Bank regarding the services and support they require and challenges faced
  • Manage Front Offices queries and support troubleshooting
  • Deliver consistent service and meet the established SLAs (Service Level Agreements) while complying with the Banks policies and procedures, as well as regulatory requirements
Business Management
  • Timely and accurate processing of e-banking applications / modifications / cancellations, mailing addresses and conditions changes for clients and agents
  • Handle returned mails for client portfolios
  • Manage ad-hoc clients statements and advices printing requests
  • Support the team in user acceptance testing and procedures documentation
  • Maintain client data in the bank systems and perform clean-up when required
  • Perform signature verifications of the client forms.
  • Understand and possess good knowledge of system/business requirements in how client and agent records are maintained / derived
  • Strong commitment to quality service and a desire to drive innovation and continuous process improvement initiatives
  • Support any ad-hoc tasks / requests as assigned from time to time
Regulatory Responsibilities &/OR Risk Management
  • Demonstration of appropriate values and behaviours including but not limited to standards on honesty and integrity, due care and diligence, fair dealing (treating customers fairly), management of conflicts of interest, competence and continuous development, adequate risk management, and compliance with applicable laws and regulations.

  • Degree with at least 3 years of related working experience
  • Previous experience in mailing related data maintenance for Client and Agent (EAM, EFA, Finder) records is preferred
  • Good knowledge of account documentation requirements in a Private Banking environment will be an advantage
  • Good knowledge of MS Office applications (Word, Excel, PowerPoint), Macros and Visual Basic knowledge as well as an aptitude for technology
