Roles & Responsibilities Key Responsibilities:

• Coordinate with internal stakeholders for information/updating to tender/quotations.
• Facilitate the evaluate criteria with assigned subject matter expert.
• Preparation of sourcing of bid papers for tenders of more than $3M, including the tender and evaluation criteria.
• Briefing of tender to potential vendors for assigned tenders.
• Facilitate the formation of the evaluation criteria with the subject matter experts.
• Facilitate the tender evaluation interviews with the selected tender evaluation committee members.
• Attend to any queries/clarifications by potential tenderers during tender.
• Liaison with vendors to clarify on submitted proposals, terms and conditions via Ariba or any other assigned platform.
• Analysing of vendor’s financial statement as given in tender submission.
• Analysing of submitted tender proposal.
• Preparation of relevant approval papers for award, Waiver of Competition, increase in award for the various contracts and tender for Manager's review.
• Preparation of letter of awards, General Terms and Conditions of Contracts, Supplemental Agreements, Supply Agreements, etc for assigned Contract Manager's review after award approval has been obtained.
• Preparation & presentation of required reports for meetings.
• Monitor and analyse utilization of contract fund.
• Provide advise to site managers when fund transfer is requested.
• Analysing of Term Contractor Assessment results (monthly).
• Provide training and guidance to OS.
• Perform any other duties and tasks as and when assigned.

• Minimum Diploma in Business Management, Quantity Survey or equivalent.
• At least 3 years’ working experience in the related fields of contract management in procurement or facilities management.
• Understanding of financial terms and budgeting.
• Team player with willingness to learn and take on challenges.
• Strong verbal and written communication skills.
• Strong in managing own works and following up with issues.
• Meticulous and systematic in organizing own work process.
• Ability to communicate across different level of personnel - Strong influencing, collaboration, sourcing project management and negotiation skills.
• Familiar with Microsoft suite of services.
• Familiar with constructing presentations, organisation communications, and business cases.
• Knowledge of using e-sourcing tools like Ariba, SAP, etc will be an added advantage.
