The Office of Academic Services (OAS) plays a key role in advancing the University\xe2\x80\x99s educational goals through implementing and administering the academic policies established by the University\xe2\x80\x99s academic body.
OAS provides academic services for students from the time of their matriculation to their graduation and are committed to integrity, strong governance, and high standards of professionalism in our work to establish success for all NTU students.
This position provides essential administrative support to the senior officer in undergraduate and graduate course registration as well as teaching facilities booking. The incumbent shall have close interaction with students and other stakeholders in these areas and shall be responsible for attaining a good student experience. The position will also provide executive administration support in office-level operations and to the Director.
Responsibilities:
Non-Graduating Student Course Enrolment
Maintains and updates internet webpages, intranet webpages, as well as system/portal settings.
Allocates courses to non-graduating students.
Assists and advises non-graduating students on any course approval and course registration matters.
Supports in communication with schools and students, as well as in managing appeals.
Coordinates with other relevant offices.
Manages role-based mailboxes and assists in the provision of regular data or reports.
Undergraduate Education Course Enrolment
Supports in Final Year Project, Professional Internship, Professional Attachment, as well as any off-cycle course registration.
Carries out update of course registration records.
Ensures that course registration records are in order each semester.
Assists in the preparatory stage of the following semester\xe2\x80\x99s course registration exercise.
Teaching Facilities Administration
Supports in ad-hoc booking approvals.
Manages re-sourcing or re-allocating facilities to meet specific needs.
Office Executive Administration
Supports office-level operations and organizes team events.
Schedules office meetings, organizes events, consolidates inputs from teams, compiles data, prepares presentation slides, monitors budget usage, etc.
Supports cross-team projects in OAS.
Requirements:
Diploma from local polytechnics with at least 2 years of relevant working experience in administration, preferably in academic services in Institute of Higher Learning.
Highly organized, able to multitask, and adapt to changes.
Ability to prioritize tasks and manage time.
Passionate in collaborating and engaging with people at all levels of the organization.
A good team player with the ability to balance between being independent and being able to escalate matters.
Strong verbal and written communication skills.
Good customer service skills with service-oriented mindset.
Proficient in Microsoft Office and office IT applications.
