Job Description


:Provide administrative support to the Service Point in areas such as service/programme administration, documentation and data administration, and facilities administration as well as assist in other administrative matters related to corporate services.Front Desk and Secretariat Support:

  • Greet and attend to public walk -ins. This may include administering visitor logbook and badges, notifying relevant colleagues or re -directing public to appropriate resources.
  • Answer, screen and route incoming phone calls to relevant parties, taking down phone messages, checking of incoming phone messages and emails.
  • Attend to enquiries and feedback and where necessary, consult manager/supervisor on appropriate response or follow -up
  • Handle courier/express mail services upon request, mailing of letters, checking of mailbox and dissemination of mail to relevant parties
Facility and Operations:
  • Ensure reception and meeting rooms readiness/cleanliness at start and end of the day
  • Ensure upkeep, cleanliness and maintenance of the facilities. This includes liaising with vendors on maintenance matters, upkeep of first aid supplies and fire-fighting equipment
  • Plan and conduct workplace safety exercises (e.g. fire drills) in accordance with safety guidelines and regulations
Programme and Data Administration:
  • Work with relevant programme managers for back-end programme administration and implementation coordination and support
  • Upkeep of relevant databases within the Service Point, including the use of shared IT platforms for centralised depository of documents
  • Support in collation of data and statistics for programme and services reporting and publication content generation.
  • Assist in implementation of personal data protection policies and measures in daily operations.
Procurement and Finance:
  • Manage the procurement and replenishment of office required stationery and supplies.
  • Process accounts payable and receivables, raising purchase and payment requisitions, as well as month-end reconciliations
  • Support in administering sponsorships and donations, including liaising with external partners where needed and proper record-keeping for audits
  • Ensure that physical fixed assets tally with the fixed asset records maintained in HQ-Finance\'s financial system and assist in asset counting when required.
HR Administration:
  • Provide support in recruitment activities, where needed
  • Provide support in the on-boarding and off-boarding of staff / interns, where needed
  • Assist in the administration and tracking of training applications and plans of the staff in the Service Point, raising purchase and payment requisitions for training.
  • Coordinate Service Point/Group/Organizational events/meetings participation and distribution of collaterals for staff.
Qualifications:Minimum A\' Levels or Diploma holderJob Requirements:
  • At least 1 to 2 years of related administrative experience;
  • Proficient in MS office (Word, Excel, PowerPoint);
  • Team player and able to work independently;
  • Good communication and interpersonal skills;
  • Able to multi-task and work efficiently;
  • Self-motivated and organised;
  • Feasible and efficient solutions to problem solving.
