About the role:

PRISM+ is a rapidly growing and ever-evolving organisation based in Singapore, and we are looking for a skilled and highly organized Executive Assistant. This role reports to the Managing Director and is required to provide administrative support to our executive team.

The ideal candidate must be proactive, resourceful, and possess excellent communication and interpersonal skills. This position requires a strong ability to handle multiple tasks efficiently while maintaining strict confidentiality. As an Executive Assistant, you will play a crucial role in ensuring the smooth functioning of the executive team and overall organizational success.

Key Responsibilities:

  • Provide comprehensive administrative support to the executive team, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  • Prepare and edit correspondence, reports, and presentations for the executive team.
  • Manage email communication, prioritize incoming messages, and respond to inquiries on behalf of the executives when necessary.
  • Conduct research and prepare briefing materials for meetings, presentations, and projects.
  • Act as a liaison between the executive team and internal/external stakeholders, maintaining positive and professional relationships.
  • Organize and coordinate events, conferences, and team meetings, ensuring seamless execution.
  • Manage confidential and sensitive information with the utmost discretion.
  • Assist with project management tasks, including tracking deadlines, milestones, and deliverables.
  • Collaborate with other executive assistants and team members to streamline processes and enhance overall efficiency.
  • Manages the requisition and maintenance of office facilities and equipment, office supplies and pantry supplies.
  • Monitor and manage budgets, expenses, and reimbursements related to executive team activities.
  • Identify opportunities for process improvement and implement effective solutions.
  • Handle ad-hoc tasks and special projects as assigned by the executive team.
Requirements:
  • Bachelor\'s degree in Business Administration, Management, or related field preferred.
  • Proven experience as an Executive Assistant or in a similar administrative role, including experience as a Team Lead.
  • Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong attention to detail and accuracy in all work.
  • Excellent written and verbal communication skills.
  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Demonstrated ability to handle sensitive and confidential information with discretion.
  • Ability to work independently and take initiative while also being a team player.
  • Strong problem-solving skills and a proactive approach to challenges.
  • Flexibility and adaptability to changing priorities and deadlines.
  • Experience in project management is a plus.
  • Previous experience in a fast-paced corporate environment is preferred.
