Responsibilities:

Provide secretarial, administrative support to the embecta business. Additionally, the incumbent will support regional leaders based in Singapore

  • Support and facilitate day-to-day office management and operation by maintaining office supplies and equipment including regular checking of office inventory, liaising with vendors for the purchases of such office supplies and equipment
  • Support the business by planning and scheduling meetings, conferences and teleconferences.
  • Arrangement of flights and hotel bookings for the regional leadership team. This includes the application and renewal of travel visa, as required.
  • Draft and prepare letters, memos and other correspondence requiring judgment and discretion; write, edit and manage internal and external communications.
  • Responsible for reservation of conference/meeting rooms, arrange teleconferencing and management of all audio and video requirements for senior leaders' meetings.
  • Prepare presentation materials and maintain business organization charts
  • Processing of departments' invoices
  • Collect and distribute all incoming and outgoing mail, correspondence and documents.
  • Responsible for onboarding and exit clearance of new hires and associates respectively.
  • Demonstrate continuous effort to improve operations, streamline work processes, analyze records, systems and suggest ways for improvement, write or modify SOPs for department processes as need.
  • Provide support to Human Resource and Finance when required
  • Conduct projects, assignments and perform any other tasks as directed and assigned.
QUALIFICATIONS:
  • Min Diploma in any field
  • Min 3-5 years' of working experience in administrative/ secretarial function experience
  • Prior experience providing support to senior management will be an advantage
  • Experience within the pharmaceutical industry and / or within a sales and marketing environment will be highly advantageous
  • Able to start immediate or short notice preferred.
