As a Barclays Executive Assistant, you will provide full secretarial support in Investment Banking. You will schedule and coordinate meetings and events and help maintain busy appointment calendars. You will be arranging and coordinating travel schedules and reservations. Offering secretarial support to team of bankers with regional coverage clients
Extensive diary management and coordination across the area (regionally and globally)
Organizing meetings and assisting with agenda; building good rapport with assistants to clients
Organizing travel arrangements, cabs and visas for business trips. Tracking and following through on actions and expense processing
Liaising with other regions to arrange inter-office visits including security access, desk allocation, PC login, and staff/client meetings
Assisting with desk locations for new joiners and overseas visitors and ensuring that desks are set up in line with requirements and moves
Providing back-up secretarial cover for other secretaries during absences and busy periods
Taking action to voicemails/incoming calls in a prompt and timely manner. Ordering equipment and stationery supplies and providing ad hoc administration
What were looking for:
Ability to work with MS Office packages
Good communication skills
Experience working as a Personal Assistant/Secretary within a banking environment
Highly organized and excellent attention to detail
Skills that will help you in the role:
Familiarity of communicating with clients assistants to organise meetings
Familiarity with SAP / Coupa systems for expense processing
