Administrative support including but not limited to time and daily management of schedules, travel arrangements, meeting coordination, claims management of CSO & MD
Detailed minute-taking during meetings attended with CSO & MD. Minutes taking for management meetings when required
Follow up with relevant parties on action to be taken after meetings attended with CSO & MD
Prepare, draft presentations for CSO & MD
Consolidate and archive with a system the presentations, reports and proposals for CSO & MD
Assist the relevant teams to cross check information with CSO & MD before final draft is presented
Participate actively and work together with relevant team leads in process improvement projects that involves the sales team, CSO & MD
Sales related Administration
Coordinate suppliers/principle visits
Coordinate and assist in exhibitions attendance and reporting
Collate, initial review, archive of team\'s presentations
Legal documents, initial review, archive and tracking
Updating and maintaining vendor guide book
Coordinate sales team\'s HR administrative
Office Management
Occasionally manage front desk (reception) as a back up and oversee to ensure daily activities are handled smoothly and timely
Occasionally manage courier arrangement as a back up and oversee to ensure that sales related documents are handled smoothly and timely
Guide the administrative team to ensure that the offices are kept in pristine conditions and a high level of guest relations standards are always maintained
HR Engagement Events
Involvement in HR team\'s engagement initiatives and programmes such as social activities, staff wellness/welfare initiatives, company trip, teambuilding events etc
Be a brand advocate for the company and uphold a professional image with good etiquette at all times
Ad-hoc assignments
Uptake new assignments/tasks/projects for professional career development and as assigned by Reporting Manager/Supervisor
Report to the Group MD of the organization with a gridline report to the EA, CEO (Supervisor). "
