Role Description

We are looking for an EA to support Partner and Director levels within our management team, maintaining an energized work environment, whilst ensuring high levels of accuracy, organizational effectiveness and communication.

The EA responsibilities are broad and diverse, including scheduling of meetings and appointments across multiple time zones, organizing travel, greeting visitors, and providing general administrative support to the business. This role potentially involves supporting the Partners and Directors across APAC as required along with other general support.

This position is based in Singapore and reports to the Managing Partner.

Responsibilities

  • Meeting planning & appointment scheduling
  • Diary management across multiple time zones
  • Expense reconciliation
  • Inbox management
  • Contact management
  • Travel bookings
  • Interacting with and building relationships EAs of key senior clients
  • Other ad-hoc executive support
Operations Support
  • Event planning & management - plan in-house or off-site activities, such as industry events, celebrations and conferences
  • Training - coordinate staff training program, help manage the logistics for training sessions, assist in the onboarding and induction process for new hires
  • IT system administration & support - maintain systems, provide basic IT support to staff
  • Finance support - book-keeping procedures, expense management, expense policies, assist Finance Manager as needed
  • Document management - develop guidelines for document filing on cloud platforms(e.g. Box), ensure documents are filed correctly and reference-able by team
Requirements
  • Minimum of 3 years\xe2\x80\x99 experience as an Administrative Assistant with extensive knowledge of administrator responsibilities, systems and procedures.
  • Experience with diary management across multiple time zones in a professional services firm or tech sector is a must.
  • Singaporean Citizen or PR
IT Systems Proficiency

Technical knowledge or exposure to some of the software platforms and apps used across the company:
  • Microsoft Office - Outlook, Excel, Word, PowerPoint
  • Windows and/or Mac OS
  • Document Management - Box, Sharepoint
  • Other software apps including Teams, Harvest, Evernote, etc.
