Responsibilities

  • Provide comprehensive secretarial support to MD
  • Manage and coordinate administrative tasks to ensure smooth operations.
  • Any other form of ad hoc support to members of the team as required.
  • Oversee full diary management including scheduling appointments and meetings.
  • Schedule and coordinate a variety of meetings, conference calls, and video conferences (both internal and external).
  • Assist in the preparation and printing of materials for meetings.
  • Arrange international and domestic travel, including flights, hotels, and transportation.
  • Complete and submit claims for corporate card expenses and out-of-pocket business expenses.
  • Ensure timely submission and compliance with corporate and travel policies.
  • Order and manage stationery and office supplies.
  • Archive, file, scan, and print documents as needed.
  • Prepare and set up refreshments for major meetings.
  • Perform ad-hoc duties such as organizing team-building and bonding events.
Requirements
Experience:
  • Minimum of 10-12 years of experience providing full secretarial support to senior leaders and teams.
Technical Skills:
  • Advanced proficiency in MS Office, including Word, Outlook, Excel, and PowerPoint.
Education:
  • Minimum A-level, Polytechnic diploma, or secretarial qualifications.
Skills:
  • Fast learner with the ability to connect the dots.
  • Strong coordination and management of competing priorities with various stakeholders.
  • Proven team player with a proactive approach and the ability to take initiative.
  • Ability to work independently without supervision.
  • Excellent communication skills at all levels.
  • Ability to handle multiple tasks and competing priorities, often with tight deadlines
  • Willingness to work overtime to complete tasks.
