Summary:
This position provides supports and assistance to the BD team in the entire process of development and completion of Request for Proposal (RFP), Request for Information (RFI) and related business contract documents. The RFP/RFI response process includes setting timelines, compiling RFP/RFI responses using client or templates, coordinate with various stakeholders, preparation and submission of final documents. This position requires overall management of activities involved in the development and revision of the company business contracts with clients, vendors and subcontractors under the supervision and guidance from responsible BD account owner(s) and/or opportunity owner(s). This person works closely with business development, operations, legal, and other management teams and utilizes their knowledge of services, standards, pricing and implementation processes to complete these documents.
Job Scope
1. Directly/indirectly achieve new business won target set by the Company under the guidance and supervision of BD account owner(s) and/or opportunity owner(s)
2. Prospect new customers and business opportunities under the guidance and supervision of BD account owner(s) and/or opportunity owner(s)
3. Support and/or participate in coordination between the customer and operations teams within and maintain general knowledge of all services for appropriate cross-promote opportunities.
4. Coordinate with respective parties in contracts and proposals to develop competitive proposal. Aggressively pursue awareness of competitive activities, positioning and pricing, which includes specific reasons for awards and non-awards.
5. Prepare and manage a dynamic queue of budget proposal assignments and meet strict submittal deadlines through working collaterally and collaboratively with relevant parties involved
6. Set clear deadlines and work with business development and operational teams to develop budget proposals that specifically address the needs and interest of each prospective client
7. Prepare, coordinate and compile persuasive contents to customize a document (RFP/RFI) for a specific prospective client through working with business development and operational professionals
8. Identify, request and collate quotations from external vendors to support budget proposal development
9. Develop, review, assemble, finalize and maintain accuracy of cost estimates, service scopes, contents, grammar, spelling, punctuation, format text, pictures, and graphics for aesthetics, quality and adherence to meet RFP specifications
10. Manage timelines carefully to deliver a complete and final document on time
11. Provide exceptional customer-centricity service to internal clients including developing rapport, being responsive, and providing high-quality deliverables on time
12. Develop presentation materials (such as in PowerPoint format) for oral presentations, as needed to support BD activities, as required
13. Manage and maintain paper and/or electronic files and any supporting documents, including opportunity tracking database utilizing company\'s tracking tools (such as Salesforce) to ensure database is current
14. Prepare, finalize, negotiate (if required), amend and terminate contracts with sponsors through working with business development, operations, legal and other management teams
15. Prepare, coordinate and finalize Confidentiality Disclosure Agreement (CDA), Master Service Agreement, initial Work Order (WO), Letter of Intent (LOI), Vendor Service Agreement (VSA) and/or internal Project Order (PO) preparation and internal review upon project award. Response to inquiries regarding contract obligations and revisions, as required
16. Proactively review, trigger and prepare all applicable change orders and agreements in a timely manner
17. Support and contact business development and/or operations and the client and/or vendor ensuring that all legal and contractual matters are addressed efficiently and promptly
18. Support and participate in client meetings if required. Assist and/or attend in bid defence meetings with clients to support in proposal and budget discussion
19. Perform administrative tasks such as mailing, scanning, saving, uploading and manage the contract signature process internally and externally
20. Upon project award, setup, coordinate and/or support business development and operations teams in project handover.
21. Respond to routine and non-routine inquiries in a timely and professional manner. Obtain assistance to resolve complex inquiries, in order to discuss and learn
