In this role at the NTU Events Office, the candidate will gain valuable insights into the diverse range of events hosted by the university and the unique challenges they present. The Executive will also have opportunities to engage with senior management, high-level VIPs, prominent alumni, major donors, and various stakeholders within the NTU community and its partners.The Executive is expected to provide strong event support while developing a comprehensive understanding of NTU's organizational structure, culture, and protocols. They should be comfortable interacting with key stakeholders and cultivating a robust network to enhance future event planning and execution.Responsibilities:Support the Project Lead in planning, coordinating and execution of, but not limited to, idea-nation, budgeting, planning, marketing, registration, logistic coordination and operation for conferences, networking events, signing ceremonies, appreciation award gala, corporate launches, ministerial visits, etc in physical, virtual or hybrid formatsSupport event logistics, including budgeting, procurement, registration, and F&B arrangements.Coordinate event programming as needed, such as engaging speakers, performers, and entertainment.Prepare participant communications, including payment advice for chargeable events, and handle event-related einquiries, including monitoring role-based email accounts.Set up and manage events on NTUxe2x80x99s integrated platform, EventsAir, and track milestones to ensure timely delivery.Oversee onsite operations, including production crew, suppliers, and temporary staff.Provide event secretariat support, including agenda preparation, minute writing, and risk assessment administration.Undertake additional responsibilities, such as inventory tracking, data collation and planning team or departmental activities.Requirements:Diploma in Events & Hospitality Management or related fieldAt least 1 year of relevant experience in events management, preferably within the academic sector.Experience in organizing virtual and/or hybrid events.Proficiency in video production, HTML5, CSS, Sitefinity, or SharePoint is an advantage.Good interpersonal, communication, and writing skills.Attention to detail, and the ability to maintain confidentiality and demonstrate sound work ethics.A proactive individual with the ability to work independently, as well as a responsible team player who is creative, resourceful, and resilient.Proven ability to manage multiple projects, timelines, budgets, and deliverables effectively.This is an active role for the candidate who has the passion delivering successful events and collaborating with the community to enable NTUxe2x80x99s wider mission and objectives.We regret that only shortlisted candidates will be notified.Hiring Institution: NTU
