Job Description

You will play a pivotal role in supporting our Cancer Control and Prevention strategies through the HPV vaccination programme. We are seeking a detail-oriented and organised HPV Programme Coordinator to manage the operational aspects of the programme.





This 6 months temporary role combines customer service, event coordination, administrative support, and data management to ensure smooth programme delivery and stakeholder engagement. You will also support the preparation of reports and presentations to communicate findings and strategies to internal and external stakeholders and funders.

Key Responsibilities

1. Programme Operations & Customer Service

Serve as primary point of contact for HPV programme enquiries Coordinate and manage HPV-related events, including logistics planning Support Women's Gynae Cancer campaign operations and provide administrative assistance, when required Maintain strong relationships with participating GP clinics and healthcare providers

2. Financial Management & Claims Processing

Verify details on patients' invoices submitted by clinics Review and ensure completeness of documentation Submit claims for reimbursement Generate monthly expense and HPV dose reports Assist in drafting income & expenditure (I&E) statements Track and reconcile programme-related financial transactions

3. Data Management & Quality Control

Input patient details into the programme masterlist Clean and validate data to ensure accuracy Flag errors in invoices for resolution Generate reports and analytics to support programme monitoring Ensure compliance with data protection and privacy regulations

4. Administrative Management

Oversee administrative operations of the Community Health Department Liaise on finance, operations, and legal matters Support budget management and financial reporting Oversee vendor payment processes Coordinate procurement processes in compliance with guidelines

5. Other Functions

Support outreach efforts, community/corporate talks, and other Community Engagement Cluster events Draft reports and project status updates for management and stakeholders, including annual report contributions Manage phone calls and handle general queries Support cross-deployment for other departmental events and activities, as needed

Key Requirements

Diploma in a related field, with 1-2 years of relevant experience Experience in healthcare administration, data management, or a similar role preferred Knowledge of HPV vaccination programmes or immunisation services is an advantage Strong proficiency in Microsoft Office Suite, especially Excel Excellent attention to detail, analytical and problem-solving skills Strong organisational and time management abilities Good written and verbal communication skills Financial processing and reconciliation capabilities Professional, resourceful, and able to work independently High level of accuracy, confidentiality, and professionalism * Team player with strong interpersonal skills and ability to collaborate across departments
