JOB DESCRIPTION

LThe Education Outside the Classroom (EOTC) Executive is a key point of contact for colleagues and parents for all EOTC related queries. Our EOTC Executive is responsible for the day-to-day management of administrative functions to assist in the provision of EOTC activities, including residential and day trips and Co Curricular Activities (CCAs). The EOTC Executive works closely with the EOTC Co-ordinator, Year Leaders in both the Primary and Secondary Schools and Learner Services.

ROLES AND RESPONSIBILITIES

Act as a first point of contact for learners and parents, handling their enquiries and requests via phone, email or in person in a courteous, respectful, professional and confidential manner.

Collect, monitor and help chase documentation and information form updates such as passports, permission forms and visa applications. Update the school records accordingly.

Check and cross reference payments for residential camps and day trips. Follow up in liaison with Finance.

Maintain accurate lists of participants and documentation that has been submitted, liaising with Learner Services where necessary.

Provide support for extra curricular activities (CCAs, Music ensembles, ACSIS sport, Swimming, DofE International Award etc).

To perform any other duties as assigned by the management, stakeholders and reporting manager/link.

QUALIFICATIONS AND SKILLS

Resourceful, calm, patient and proactive when issues arise

Strong customer service skills and a confident and effective communicator.

Knowledge of administrative and clerical procedures

Multitasking and time-management skills, with the ability to prioritize tasks

Willingness to learn and expand skills.

Confident in the use of technology to support procedures.

A strong command of the English language, both written and verbal.

Bachelor degree qualification and experience in an international school environment are advantages
