Job Description



Broad Function
Provide high-level administrative support to CEO and other senior staff.

Key Responsibilities and Duties
Specific

  • Coordinate the needs and demands of CEO to create an efficient schedule and make best use of CEO's time
  • Have ownership of CEO's agenda/schedule, oversee access to CEO and manage time/interaction CEO has with internal and external sources, prioritizing and resolving related conflicts and competing demands
  • Performs clerical and administrative tasks including drafting letters, memos, prepare documents and presentation materials for meetings
  • Arrange and attend meetings and take minutes if necessary
  • Provides a bridge for smooth communication between the CEO Office and both internal and external stakeholders
  • Arranges CEO's travel plans, itineraries, and agendas for travel related meetings
General
  • Serves as the primary point of contact, handling correspondence and phone calls
  • Oversee and coach junior staff in the department
  • Ensures departmental administrative needs are attended to promptly
  • Gather, compile, verify and analyse information for CEO's use in documents such as memos, letters, reports, speeches, presentations and news releases
  • Use independent judgement and discretion to make decisions. Maintain high level of confidentiality at all times
  • Performs additional duties as assigned by CEO
Job Requirements
  • Min Diploma in Business Administration or Management / Degree qualification in any courses
  • At least 5 years of related experience required
  • Extensive knowledge of office administration, clerical procedures
  • Proficient in Microsoft Office
  • Excellent verbal and written communication skills
  • Excellent organisational skills and attention to details
  • Excellent time management skills with ability to multi-task and function well in a fast-paced environment
  • Reliable, pro-active and efficient
