Job Description


The Executive Secretary, Sales and Marketing & Loyalty - Asia Pacific (APAC) supports both the Vice President, Sales and Vice President, Marketing & Loyalty in delivering the company\xe2\x80\x99s goals, namely ensuring the functions operate efficiently, meet its deadlines and that projects and initiatives are managed appropriately.

What will I be doing?

As the Executive Secretary, Sales and Marketing & Loyalty - APAC, you will be responsible for performing the following tasks to the highest standards:

  • Manage calendar and arrange meetings in multiple time zones
  • Organize travel arrangements
  • Manage the travel and entertainment (T&E) budgets for both teams
  • Arrange internal and external meetings, book meeting rooms and video conferencing equipment, prepare agenda and distribute action items
  • Handle of confidential documents and ensure they remain secure
  • Arrange and plan social gatherings and conferences
  • Review and submit contracts and invoices
  • Monitor emails and inboxes
  • Maintenance of distribution list
  • Prepare materials, source and distribute appreciation gifts
  • Project management and carry out other duties as and when required
  • Other administration duties as required

An Executive Secretary, Sales and Marketing & Loyalty - APAC serving Hilton Brands is always working on behalf of our Guests and working with other Team Members. To successfully fill this role, you should maintain the attitude, behaviors, skills, and values that follow:
  • Minimum high school diploma or higher education
  • 5+ years of related experiences in a large multinational and multi-cultural environment
  • Prior experience in managing more than one executive\xe2\x80\x99s calendar and administrative activities
  • Possess a strong commitment to working in a fast-paced and team-oriented environment
  • Articulate and detail-oriented, with have strong follow-up, organizational and administrative management skills
  • Ability to initiate and follow-through on tasks independently \xe2\x80\x93 strong self-starter who will take charge and provide support to executives in an efficient manner
  • Ability to multi-task, assess priorities and maintain composure and diplomacy at all times
  • Proactively seek opportunities to provide additional value-added service to ensure all established deadlines / commitments are met
  • Maintain working knowledge of department and processes
  • Proactively seek opportunities to provide additional value-added service and optimize efficiency
It would be advantageous in this position for you to demonstrate the following capabilities and distinctions:
  • Script and prepare internal communications
  • Develop PowerPoint presentations, letters, memos, charts, reports or other types of correspondence and maintain records of all documents
  • Enjoy meeting and event planning
  • Enjoy the social element of team management \xe2\x80\x93 willing to be a culture ambassador and advocate
