About the Role ....



Our client is looking for a professional and driven Executive Support Specialist to join the Singapore office. The successful candidate will report to the Office Manager.


Role & Responsibilities


Provide general secretarial and administrative support to the Investor Relations team in Singapore office. Manage team's calendar, schedule meetings, including logistics, restaurant arrangement and catering where required. Co-coordinate internal and external meetings across different geographical time zone. Co-coordinate team's business travel, flight, accommodation, car arrangement and handle visa application and renewal as necessary. Support in planning and organising investor events such as roadshows and conferences. Coordinate logistics, manage registration and provide on-site support. Preparation of marketing material for investor meetings. Maintain investor database and update of investor meeting to database system. Provide general administrative support and other ad-hoc task as needed. Manage deliveries correspondence, meeting rooms booking and greeting visitors. Coordinate lunch order for employees working in the office.

About the Requirements ....



At least 5 years of relevant experience within an international private equity, investment banking, private banking, consulting, events management or travel company. Prior experience supporting a high travel volume team will be advantageous. Proficiency in Microsoft Word, Excel and Powerpoint. Proficient in English and excellent written and verbal communication skills. Able to communicate professionally and effectively with internal and external parties. Highly driven yet personable, able to thrive in a fast-paced environment. Excellent organisational, multi-tasking and time management skills. Strong attention to detail; accuracy in handling information and planning. Able to work independently as well as collaboratively in a team-oriented environment. Strong problem-solving skills, with ability to anticipate issues and proactively find solutions and exercise good judgement. Flexible with off-working hours requests.
