Job Description


Job Purpose

The staff will be responsible for managing and guiding the learning admin team, covering day-to-day learning admin processes and operational initiatives, to ensure smooth and efficient support of training delivery.

Responsibilities

  • Administer and support course and grant administrative tasks for daily and ad-hoc learning activities and programmes, which include but not limited to in-person training, digital learning, home based learning, and workplace learning. Duties and responsibilities include:
  • Liaising and coordinating with relevant internal/external stakeholders/training providers/coordinators on learning admin tasks such as course scheduling, registration, attendance preparation, processing of course invoices, updating of learning records in the Learning Management System (LMS), digitalisation of documents.
  • Supporting business development initiatives in areas such as planning and administering course runs, tracking of course completion/license status, and billing of external parties.
  • Supervise a team of executives and/or supervisors in:
  • overseeing training administration and capturing staff training and competency records in the LMS
  • ensuring compliance with regulatory workflow & procedures, and monitor the overall timeliness in application and submission of training grants
  • Assist in management reports and provide regular updates and analysis on progress and development of key learning admin activities in both course and grants administration.
  • Review and administer SOPs and work processes as appropriate to enhance work productivity.
  • Ensure proper documentation and maintenance of the team\'s processes/procedure policy, trackers, and work-related documents.
  • Initiate and facilitate process review and process improvement projects.
  • Facilitate and provide system, admin, and training support for learning-related systems (such as Learning Management System (LMS), knowledge management and SharePoint applications)

Qualifications & Work Experience
  • Minimum Bachelor\'s Degree, in any discipline from a recognized university
  • At least 3 years of relevant administration experience in a training environment
  • Proficient in MS Office (especially Microsoft Excel)
  • Familiarity with using SAP, ARIBA, SuccessFactors, Training Partners Gateway and Robotic Process Automation or other process improvement tools preferred

  • Strong ability in navigating and operating online course registration, and internal IT and LMS systems.
  • Good analytical, decision-making and problem-solving skills.
  • Possess high level of personal effectiveness, attention to detail and impeccable follow through
  • Strong planning, analytical and organisational skills combined with excellent time management
  • Capable of handling multiple tasks, working well under pressure and short timelines
  • Result-oriented and exceptional problem-solving skills to address existing challenges to achieve sustainable and impactful results
